A 'workflow' is a sequence of steps that must be completed in order to determine an outcome.
Canopy employs a number of workflows to request, onboard, approve and monitor suppliers throughout their relationship.

Workflows provide you with consistency in the steps that are taken to determine whether or not a supplier should be authorised to trade with.
Workflows define the sequence of actions that need to be taken, and who in your organisation is responsible for taking those actions.
Workflows will contain gates that provide opportunities for suppliers to be sent down different pathways, based on a set of criteria. This means a supplier may not encounter the exact same actions and requirements as another supplier. However, the criteria used to define these pathways remain consistent across the whole of Canopy.
Types of workflow used on Canopy
There are various types of workflow used within the Canopy system, as follows:
1. Approval Workflows
These are workflows governing the approval of information entered into the Supplier Profile. There are various reasons why an approval may be required, such as:
- Accepting information entered by a supplier, such as an insurance certificate
- Approving new expenditure, activity or supplier engagement
- Accepting an identified risk
- Approving a contract
2. Data Entry Workflows
Workflows exist to collect and utilise information relevant to the trade being undertaken by the supplier.
For example, any construction work in the UK requires the supplier to declare to the customer if they are registered on HMRC's Construction Industry Scheme (CIS), which in turn will trigger a requirement for the customer's Finance Team to obtain a verification number from HMRC, which needs to be renewed every 2 years.

3. Bank Verification
Verifying bank details employs a dedicated workflow as part of Canopy's fraud prevention mechanisms. This activity is performed by dedicated users, typically from the Finance Team.
