Editing a contract record to a Supplier Profile
To edit a contract to a Supplier Profile, please follow these steps:
- Find the contract record you wish to edit
For more information on how to find contract records, please click here. - Click on the relevant contract record. The contract record will load.
- Click the Edit Contract button in the top right. If you cannot see the Edit Contract button, it means you do not have the necessary permissions to edit contracts. Please contact your Administrator if you feel this is incorrect.
- You will be taken to the Edit Contract page, containing all the fields of data relating to the contract record you wish to edit. Please edit the information as appropriate.
- Note, mandatory fields will be marked with a red asterisk (*) with the phrase 'Please enter a value'. You will not be able to publish the contract record unless these fields are completed.
- Once you are finished, click the Publish button. The contract will now be saved with the updated information, and will be visible in the list of contracts.
- Clicking Cancel will escape the process. All edits you have made will be saved, but will not be visible on the published record of the contract. Contact records with unpublished edits will be marked in the Contracts List with the field Unpublished Changes.
- Clicking Delete will delete the contract record. It is not possible to recover the contract record once it has been deleted.
What to do if a contract record has Unpublished Changes
It is possible to make edits to a contract that are not published to the formal contract record. These are known as Unpublished Changes. This is useful if changes are being made to the contract, that are not ready to be communicated to the wider business.
If a contract record has Unpublished Changes, this will be indicated to all users on the Contracts List.
When viewing a contract record that contains Unpublished Changes, the user will only see the Published information. Any edits that have not yet been published will not be visible on the Published record.
If a contract record has Unpublished Changes that you wish to push to the Published record, please follows these steps:
- Select the relevant contract record
- Click the Edit Contract button in the top right. If you cannot see the Edit Contract button, it means you do not have the necessary permissions to edit contracts. Please contact your Administrator if you feel this is incorrect.
- You will be taken to the Edit Contract page. You will now be able to see any previous edits that have not yet been published. Confirm you are happy with the information you wish to publish.
- Once you are finished, click the Publish button. The contract will now be saved and all unpublished changes will now be pushed to the published record, visible to all users.
- Clicking Cancel will escape the process without publishing the unpublished changes. All previous edits will remain in the unpublished version of the record, which you can return to at any time by following this sequence of steps again.
- Clicking Delete will delete the contract record. It is not possible to recover the contract record once it has been deleted.
Who has permission to edit contracts
You will need to have the relevant user permissions to edit contract records on a Supplier Profile.
